For questions contact Tina Roberts at 916-646-6631 JOB DESCRIPTION TITLE: Bookkeeper / Accounting Clerk Part-time General Summary With moderate supervision, perform a variety of standard bookkeeping and accounting tasks, applying accepted procedures to the preparation and maintenance of accounting and other records. Essential Functions Matches Accounts Payable checks to supporting documentation, investigates discrepancies, and distributes checks in accordance with organization's procedures and timeframes. Audits accuracy of Accounts Payable processing, ensuring signature authorization policy was followed, GL coding was keyed accurately, and proper support was obtained. Identifies, communicates, and records processing errors and discrepancies. Provides guidance regarding processing procedures to avoid future errors and discepancies. Ensures receipts are received and matched to credit card transactions and employee cash reimbursements in accordance with IRS regulations. Maintains department records/files to ensure accurate record keeping, security and confidentiality of files. Record payroll information by posting expenses and cash disbursements to the general ledger for internal and external reporting (EDD and financial statements). Complete 1099 and W-9's Maintain the records for fixed assets including depreciation, purchase and sale of assets. Reconcile assigned bank accounts to ensure the accurate and timely reporting of cash. Record in the general ledger bank stop payments and void checks, reissue manual checks as necessary. Participates in fiscal audits. Produce monthly financial statements comparing actual revenues and expenses to budget Produce donor file that would be basis of contribution acknowledgement letters Produce cash forecasts to predict and manage short term cash surpluses and shortfalls Record and reverse revenue and expense accruals to general ledger Accept bank deposit information from some independent employee for posting Maintain accounts receivable register and ensure payments are received on a timely basis Job Specifications Typically has the following skills or abilities: Three years experience in an accounting environment Knowledge of clerical bookkeeping principles and practices Experience with QuickBooks Ability to perform detailed work with numerical data and to make arithmetic computations accurately Excellent organizational skills and the ability to meet tight deadlines Excellent verbal and written communication skills 10-key by touch (7,000 ksph) Ability to key both alpha and numeric (6,000 ksph) Clean credit history as reported by credit report Ability to pass background check Desired skills / experience Experience conducting bookeeping functions with non-profit organizations
