Summary Local, dynamic company is seeking an enthusiastic Administrative Support Specialist to join their growing team. You will serve as the company's "first impression" to clientele via face-to-face and phone interaction, as well as provide daily general office support. If you are ready to become an integral member of an exciting work group and contribute to significant company growth, please read on! Responsiblities Reception: Effectively manage multi-line telephone system functions including transferring, conference calling, voicemail, etc. Greet callers and guests quickly, professionally, politely and cheerfully. Document Processing and Formatting: Constantly monitor Outlook for incoming documents, upload documents into the database and process/distribute documents to the team. Format documents on company letterhead.   Calendaring: Maintenance of office shared Outlook Calendar, Contacts, and the To Do List (adding notes/updates, entering new contacts from business cards, new contractor information, etc.). Update Events and Consultant Calendars with Events, Seminars, etc. General Office: Operate and maintain office machines. Maintain all filing. Assemble and maintain new hire materials. Ensure common areas are always clean and tidy.   Special projects as assigned. Qualifications Thrive in a very fast-paced environment: Business volume is growing by leaps and bounds so you must be able to multi-task well, meet deadlines, and handle constant change. Dependable, outgoing, organized and a self-starter. Take ownership and pride in your work, creatively solve problems, and apply excellent attention to detail in everything you do! Highly adaptable and able to work in a close-knit team environment. Able to maintain a positive attitude, even during times of heavy workload. Proficiency in Microsoft Word, Outlook and the Internet is required. Able to manage a large volume of email communication via Outlook. VanderHouwen & Associates, Inc.
