Conduct tenant move-ins & inspections B. Maintain a file system on each unit which will include the following; a. Application, Lease, Copy of Drivers License, 1st months rent & deposit checks b. Other written agreements with Tenant including Conversation Notes. c. A Maintenance Log/Invoices indicating all maintenance work C. Perform clerical duties such as typing, forwarding calls, and scheduling appointments for Property Manager. D. Maintain proper key log records. E. Handle filing, prepare and process faxes F. Accurately process invoices, bills and receipts in a timely manner G. Obtain public information from sources such as utility companies. H. Draft professional quality, well organized letters, reports and memos I. Gather information for comparative market analysis.= comps J. Courier in delivering documents, picking up keys, or similar services. K. Make keys, install lock boxes. L. Working knowledge of lease terms, application information, screening process, rental policies. M. Assist applicants to accurately complete rental applications and required supporting documentation. N. Receive, sort and distribute incoming mail and deliveries O. Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information P. Update Owners List and Send-Out-Card lists and send cards as instructed Q. All other duties as assigned. II. RESIDENT SERVICES A. Respond immediately to resident concerns, complaints and inquiries B. Provide professional, responsive, caring and knowledgeable interactions with applicants and current residents. C. Coordinate with applicant regarding move-in date and time. D. Order items for repairs/maintenance with vendors with approval from Property Manager. Ensure that vendor services are performed on schedule and meet contract specifications and reschedule any outstanding requests. E. All other duties as assigned. III. VACANCIES A. Notify Property Manager of upcoming vacancies after the Tenant has properly submitted their 20 day written vacancy notice. B. All other duties as assigned. III. PERIODIC A. Monthly Drive-bys of all management properties B. Attend bi-monthly office meetings C. Annual Periodic Inspections of all management properties D. All other duties as assigned. IV. QUALIFICATIONS • WA State Licensed Realtor • Ability to drive a car, a valid driver's license and current automobile insurance is required. Windermere Property Management must be listed as "Additional Insured" on car insurance. Position requires individual to furnish their own vehicle. • Ability to work within the mission, goals, and objectives of Windermere Property Management Eastside (WPM) by working cooperatively with WPM staff and agents. • Phone with email/texting capabilities • Working knowledge of Landlord/Tenant Act. • Highly detailed oriented- move-in inspections • Must be available to work a flexible schedule, including weekend and evenings • Computer skills, including Microsoft Word, Excel, Outlook and Internet • Strong interpersonal, organizational and listening skills and a positive customer service style. • Excellent verbal/written communication in English with outstanding phone etiquette • Demonstrated ability to complete necessary documentation and instructions, following specific guidelines. • Ability to interact with diverse populations. • Must be able to multi-task and manage time effectively by meeting deadlines and producing high quality work. • Must be flexible, adaptable, and able to cope with change constructively. • Exceptional customer service skills, including problem solving skills and ability to respond quickly and tactfully to owner/tenant requests. • Dependable, self-motivated with the ability to work independently or as part of a team. • Maintaining a professional appearance and attitude at all times. • Section 8 applicant processing procedures (working knowledge) • Bilingual a plus • Experience with Yardi or Rent Manager is a plus • Must be able to perform non-repetitive lifting of at least 25 lbs. • Employment subject to criminal background and drug screening procedures.
