This person must be motivated, hard-working, and a quick learner. This person must be able to function as a member of a team and individually. *Bilingual-Spanish preferred. Equal Opportunity Employer Reports To: District Manager & Director of Front Office Operations POSITION OBJECTIVE Display high level of professionalism in the front Reception area at all times. Provide customer service excellence to team members and guest in a courteous and unwearied manner. Perform daily in a wide range of clerical functions under the direction of the HR department head or other management staff. ESSENTIAL JOB FUNCTIONS Provides general office support with a variety of clerical activities and related tasks Greets all employees, customers, clients, potential job applicants, job interviews with excellent customer service Answer phones in a professional and courteous manner Listen and respond to voicemails daily Sends and responds to email in a professional and timely manner Provide inquiry support for both internal and external customers/employees Distributes payroll checks, payroll stuffers and newsletters in accordance with company standards May be responsible for handling all initial payroll complaints by researching the cause of the complaint and necessary resolution, including the missing hours process Reviews all paycheck pick-up authorizations while adhering to the policies of the company Assist with recruiting and new hire process, including maintenance of the applicant list Ensures applications are complete prior to accepting Supplies uniform inventory to management and/or employees as needed Maintains accurate inventory tracking of uniforms and equipment Coordinate assembly and delivery of new hire packets, forms, etc Submits orders for office, kitchen supplies as needed Receive and distribute incoming mail to appropriate staff member May be responsible for inputting applications into TKO -- Apgen May be responsible for package mailings to corporate office Assist with monthly, quarter or yearly audits Assist with updating posters, bulletin boards or office decor Ensures the reception area, meeting room, kitchen are presentable and organized Assists HR, Accounting and Payroll staff with research projects and/or special projects Other duties as assigned SKILLS, ABILITIES, REQUIREMENTS & QUALIFICATIONS Ability to read and interpret documents such as safety rules, operating instructions, emails and manuals Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardizations exist. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form Knowledge of Timekeeping Systems, Microsoft Word and Microsoft Excel EDUCATION & EXPERIENCE 1-3 years of receptionist, customer service or related experience, preferred PHYSICAL DEMANDS Physically able to lift, reach, bend and stoop as needed. Able to work in a sitting position for long periods of time. Able to work in fast paced, repetitive environment for long periods of time.
