The position provides hands-on task support to the Owner/President of Reliable Caregivers for professional and personal support activities, the Account Executive for marketing support and the Director of Finance and Operations for ongoing administrative tasks. The position is responsible for delivering the quantity, quality and timeliness of all assigned tasks including ongoing support tasks as well as ad hoc, short-notice tasks in response to particular needs. Reporting Relationship: The position reports to the Owner/President and receives day-to-day supervision from the Director of Finance and Operations to assist in determining priorities and problem solve. Experience/Educational Requirements: Demonstrates appropriate office dress and behaviors, excellent interpersonal skills, verbal and written communication skills. Demonstrates organization skills. Requires graphic design skills and a working knowledge of MS Office Suite of products (Word, Excel, PowerPoint), Adobe Creative Suite 4, and text messaging. BA or Associate Degree preferred. Duties: Support Duties for Owner/President: The Owner/President is the face of the company to all client referral sources and therefore is frequently absent from the office. Given the demands and constraints on the Owner/President, the Executive Assistant must provide conscientious support for personal life activities for the Owner/President as well as office support. Ongoing personal support activities include but are not limited to: - Make and track travel reservations and plans - Follow up all emails and personal phone calls on behalf of President - Research and liaise for various new and on-going projects - Assist in assuring President is present for all commitments - Support President with electronic/IT needs Ongoing Marketing support: - Maintenance of the integrity of the company logo and brand - Creation of marketing materials with graphic requests as directed - Maintain and monitor SEO, social media and analytics - Conversion, maintenance, and updates on company's website, including blog and calendar Preparation of packets of marketing materials ready in quantity at all times - Organization of supplies and materials to assure timely reordering - Plan and order materials and services for client referral events - Research and liaise for various new and on-going projects - Compose and edit letters, emails, correspondence, thank you notes and other documents - Coordinate office lunches, meetings, internal as well as external events Ongoing office support activities include but are not limited to: - Maintenance and refinement of Project Tracking Worksheet - Document company events for analysis and future reference - Maintenance of calendar coordinated with Account Executive(s) - Maintain and update memberships and affiliations for company and President - Make and confirm appointments for President - Liaise with building personnel for repairs and requests as directed - Storage room and terrace upkeep and ensure general cleanliness and order throughout the office Support Duties for Account Executive: The Account Executive is responsible for sales for Reliable and therefore is absent from the office often. The Executive Assistant must execute the following support activities for the Marketing/Business Development activities that supports the Account Executive and the Owner/President. Ongoing office support activities include but are not limited to: - Preparation of packets of marketing materials ready in quantity at all times - Preparation of letters, emails, correspondence, and other documents - Organization of supplies and materials to assure timely reordering - Preparation and ordering of gift items and other business items - Research and liaise events, topics and speakers - Maintain and update memberships and affiliations - Assist in market research as requested - Preparation of directions for efficient travel planning Support Duties for Director of Finance and Operations: The Director of Finance and Operations is present in the office on a daily basis. In the absence of the President, the Director of Finance and Operations will define priorities and processes for the Executive/Personal Assistant position. All operational aspects of the position will be determined by the Director of Finance and Operations. Ongoing office activities reported to the Director of Finance and Operations include but are not limited to: - Documentation of expenses for business items. - Cross-train with Administrative Assistant to provide back up support.
