Primary Area of

Responsibility: To assist in the execution, management and communication of the programs and services of the Foundation.

Reports to: Executive Director of Foundation

Works Closely With: Service departments of organization, outside vendors, Foundation Board, Foundation committee members

Duties and responsibilities:

Provide organizational support to the Executive Director, Board and committees toward the achievement of the Foundation's mission, strategy, and its annual goals and objectives.

Assist the Executive Director in the administration of the Foundation.

Maintain official records and documents to ensure compliance with federal and state charitable filing regulations. Assist in the preparation and distribution of annual tax receipts.

Maintain correspondence, mailing lists, files, databases and budget documents.

Organize travel plans for a variety of functions and constituents.

Liaise with web and marketing department maintain Foundation web site. Ensure updates correspond with Foundation activity. Add new content to Foundation website.

Manage board and committee meeting logistics including preparation and distribution of materials for board and committee meetings; Record and circulate minutes.

Provide assistance to committee chairs to ensure project growth, program facilitation and to encourage making consistent and timely progress.

Maintain a working knowledge of programs and meetings to complement and expand committee activities.

Establish sound working relationships and cooperative arrangements with staff and programs for further collaboration and cross marketing for Foundation events.

Manage scholarship process, monitor applications for eligibility. Ensure deadlines are met and web site is updated.

Use all available avenues for promotion and marketing of scholarships; provide assistance as needed to committee chairpersons and Executive Director.

Administer materials for scholarship winners including travel arrangements and oversee distribution of scholarship monies in a timely manner.

Provide logistical support with organizing and executing dinners, receptions and other functions as necessary.

Assist with special reports, brochures and collateral.

Performs other job related duties as assigned.


Bachelorís degree required. Excellent written and verbal communication skills with a customer service attitude. Prior marketing experience is desirable. Ability to work effectively with high profile donor base. A self starter with the ability to work independently and collaboratively in an environment where at certain times of the year it is very face-paced and demanding. Candidate must be able to manage multiple ongoing projects. Enthusiastic and organized with the ability to meet deadlines. Limited travel to Board meetings within and outside of the United States may be required.
