Position Summary

The Penland Gallery Assistant/Sales Associate is responsible for assisting with exhibit and sales gallery management, preparatory duties, and serves as an education, sales, and general information resource. The Gallery Assistant/Sales Associate serves as a Penland liaison with artists and the local community. This position requires a service-oriented person who is able to relay information to visitors, students, and instructors in a friendly, courteous, tactful and accurate manner. General knowledge about Penland School’s programs is necessary. General knowledge about contemporary craft and craft techniques is required. Experience with gallery practices and management, retail sales procedures, packing and shipping artwork, and exhibition preparatory skills (handling of artwork and related paperwork, object preparation and installation) are required. Work hours will include some weekend days as well as evening hours as required. This is a full time, benefits eligible, seasonal, hourly position and reports directly to the gallery director.


Gallery Assistant

•Responsibilities as gallery assistant versus sales associate are variable per week as needed. Work schedule will include five days a week during normal business hours, including one weekend day and evenings as required
•Assists with creating and maintaining sales gallery display, artist cultivation, and inventory management
•Assists with maintaining historical information spaces, upkeep and displays
•Assists exhibit preparator with instructor exhibits as needed
•Assists gallery director with all aspects of invitational exhibitions, exhibition development, artist cultivation, receipt and cataloging of artwork, images, contracts and associated paperwork
•Work with Gallery Director on installation of exhibits as required
•Assists with special exhibits and gallery related events off campus as needed
•Oversees and facilitates packing/shipping of art, shipping billing and inventory of shipping supplies
•Works with gallery staff to maintain packing space and materials
•Unpack, inventory, and tag artists work for sales gallery as needed
•Assist with gallery receptions when scheduled
•Responsible for gallery operations and oversight in manager’s absence as needed

Sales Associate

•Greet and assist incoming students, instructors, and visitors, providing information about Penland School, gallery artists, and local studios to gallery visitors
•Works with gallery customers making purchases, placing orders, and inquiries about Penland affiliated artists
•Utilizes inventory software, computer and credit card systems to facilitate gallery sales
•Maintains visitation records, customer database, and mailings lists for school and gallery databases
•Assists with tour program and guide training in conjunction with Gallery staff, and is able to conduct tours as needed (training provided)
•Participates as requested in all internal administrative responsibilities including budget development and oversight for areas of responsibilities, participates in staff meetings, training sessions, and other meetings upon request, responds to phone calls and letters in a timely fashion, maintains files for gallery
•Works equally with other staff to keep gallery clean and maintained
•Assumes other responsibilities upon request and as may be appropriate to the position

To perform the job successfully an individual must be able to perform the responsibilities above satisfactorily. The requirements listed below represent the knowledge, skill and/or ability to complete the job.
•High School diploma
•General knowledge of Penland School and craft techniques necessary
•Excellent verbal and written communication skills required
•Experience with installation of artwork and ability to work with tools; ladder, tape measure, drill, level and other small power and hand tools as needed
•Experience with retail sales and/or exhibition organization is helpful
•Experience with retail or exhibition display and design is helpful
•Ability to interact and converse easily with a wide range of visitors; give information clearly, patiently and politely and respond with the same abilities to all questions from individuals
•Able to use a calculator, credit card machine, and handle money with accuracy and ease
•Ability to confidently use personal computer and standard software
•Able to handle situations with a wide range of people in a mature, calm and rational manner
•Ability to make informed decisions concerning the gallery, sales, and visitors needs as problems arise
•Work well independently and under supervision
•High sense of responsibility and punctuality
•Highly cooperative
•Attentive to details and accuracy
•Willingness to safely and sensibly move and carry gallery items such as pedestals, artwork, boxes and furniture
•Professional casual attire required
