Church Secretary - July 2010

REQUIREMENTS

1. Completion of 12th grade or equivalent in special training.
2. Accurately types 50 words per minute.
3. Has filing skills.
4. Is competently trained in desk-top publishing, word processing, and data base on the Computer.
5. Has knowledge of office machinery: Telephone system, Risograph, copier, paper folder, postal meter, and laminator.
6. Has organizational skills.
7. Is discreet with privileged information.
8. Has pleasant personality; greets the public well.
9. Has patience and tolerance.
10. Has pleasant phone personality and voice.
11. Is knowledgeable of the activities and policies of the church so that she can answer questions of church members and the public.
12. Is dependable and efficient.
13. Is self-directed and motivated; anticipates tasks to be accomplished.
14. Maintains a professional attitude in work ethics.
15. Has good writing skills.
16. Accomplishes tasks in a timely and accurate manner.
17. Takes pride in work performance.

DUTY STATEMENT: CHURCH SECRETARY

The Church Secretary works under the supervision of the Senior Pastor or Associate Pastor. The reporting location is the Church Office at 710 Auburn Ravine Road Auburn, CA 95603. The job is part-time normally 25 hours per week (Tuesdays, Wednesdays, and Thursdays, 9am - 1pm), but may occasionally work longer.
The primary duties include but are not limited to the following:

CLERICAL 50%
Manages incoming and outgoing mail for the Church staff and boards; produces documents, presentations, and publications for the church using the full suite of Microsoft Office programs (including Word, Excel, Publisher, Access, Outlook, and PowerPoint); is responsible for typing, duplicating, and mailing of the monthly newsletter, CrossWord; prepares the Sunday bulletins; prepares Memorial bulletins, as needed; prepares correspondence and documents as directed by the Pastor(s) and/or officers; orders supplies as needed; maintains mailing lists and contact files; maintains new-member folders; attends staff meetings and prepares minutes as appropriate; coordinates assembly of Annual Report as directed by Church Clerk.

SCHEDULING 30%
Maintains schedules and calendars for the staff and boards, maintains schedules for Ushers; keeps Church Clerk informed of all weddings, baptisms, new members; sends weekly reminders to head usher, ushers, lay liturgist, Mix & Mingle servers, sound engineers, and flower providers; maintains church calendar; coordinates activities of custodial staff with church calendar.

COMMUNICATION 15%
Provides information to members and public by mail, telephone, and e-mail; acts as receptionist for the Church office; makes duplicate CD's of Sunday worship service and mails to shut-ins; helps coordinate facility rental; provides information regarding facility rental to church board.

MISCELLANEOUS 5%
Trains and supervises temporary and volunteer office help; prepares assignments to be performed by volunteers, where appropriate; responsible for distribution of keys to facilities; prepares certificates for new members, baptisms, confirmands, etc.; ensures work area is kept in a clean and safe condition; makes sure all brochure holders are stocked; ensures front office machines are maintained appropriately and cleaned on a regular basis; coordinates service on equipment when necessary; other duties as assigned.

Interview and Hiring Process: The personnel committee may change the dates as needed to meet church requirements.

3. The top candidates will be telephone interviewed and 6 candidates will be invited to a panel interview (week of 8/23)
4. Reference and background checks completed before offer
5. Offer letter to the top candidate - position starts in September 2010
